What is automated lead follow-up, and how fast should you reply?
By Saravan Bhatia ·
The short answerAutomated lead follow-up replies to a new enquiry within a minute, keeps the conversation going with a short sequence of messages, and hands the lead to a person when they respond. It exists because many enquiries are lost to slow or missing follow-up, not to a better competitor.
What is automated lead follow-up?
A system that acknowledges every enquiry immediately, follows up on a schedule until the person replies, and passes warm conversations to your team with the history attached.
- An instant, useful first reply on the channel the enquiry came from
- A short sequence of follow-ups over days, written for your business and sent in your name
- Quote chasing, appointment reminders and a nudge for enquiries that went quiet
- Every lead logged with a status, so nobody has to remember who is waiting
- A clean stop the moment the person replies, books or says no
How quickly should a business respond to a new lead?
As fast as you reasonably can, ideally within minutes. The longer an enquiry waits, the more likely the buyer has already contacted someone else.
A study published in Harvard Business Review in 2011 found that firms which tried to contact a lead within an hour were nearly seven times as likely to qualify it as firms which tried even an hour later, and more than sixty times as likely as firms which waited a day or longer. The exact numbers will differ for any one business; the direction is the point.
Most businesses cannot staff a reply within minutes at every hour. That gap, evenings, weekends and busy days, is exactly what automation covers.
What happens when nobody follows up?
The lead is usually lost quietly. Many buyers do not decide on first contact, and without a second and third touch they simply move on, so the business never learns it lost them.
Can old leads be reactivated?
Often, yes, as long as the people contacted agreed to hear from you. A short, relevant message to past enquiries can restart conversations that stalled for reasons that no longer apply.
Consent rules differ by market and channel. WhatsApp requires approved templates and an opt-in to message first; email marketing in the UK and EU needs a lawful basis under data protection and electronic marketing rules; India’s DPDP Act applies to personal data of Indian residents. A reactivation campaign should be checked against the rules that apply before it is sent.
Can follow-up connect with a CRM?
Yes. The follow-up system should read from and write to the CRM, so every message, reply and status change is recorded where your team already works.
Where there is no CRM, a simple one can be set up as part of the work, often in Airtable or a CRM with a free tier, rather than forcing a large platform on a small team.
Email, WhatsApp or SMS?
The channel your buyers already use. In India, Brazil, South Africa and the UAE that is very often WhatsApp; for B2B buyers in the UK and Australia, email usually leads. Most systems use more than one.
What should automated follow-up never do?
Mislead, pester or keep going after someone has answered. Good follow-up is short, specific, honest about being automated when asked, and stops the moment a person replies.
